Purchase Ledger / Accounts Assistant

Robert Dyas has a long and fascinating history spanning over 140 years. It was bought in July 2012 by former Dragon’s Den investor Theo Paphitis, owner of the Theo Paphitis Retail Group, which comprises Ryman, Robert Dyas, Boux Avenue and the London Graphic Centre.
The 92 stores and Robert Dyas website are supported by a Retail Support Centre in Wimbledon, the Distribution Centre in Hemel Hempstead and the Customer Support Centre in Crewe.

Main Purpose of the Role:

To maintain the purchase ledger, working as part of a team.

Main Duties and Responsibilities:

As part of the purchase ledger team:
o Indexing of invoices, credit notes and credit claims onto Docuware
o Inputting of invoices on to MMS
o Inputting of credit notes on to MMS
o Matching of invoices on MMS including credit claims process
o Liaise with Trading teams to resolve queries promptly and efficiently
o Liaise with Supplier Income Administrator to resolve any supplier claim queries
o Prepare and process payment run as per finance calendar on a rota basis
o Produce and distribute weekly and fortnightly reports on a rota basis
o Carry out supplier reconciliations and ensure they are performed within the set deadlines
o Ensure transactions recorded on the system are properly authorised and coded
o Administration of debit balances on ledger, escalate as appropriate
o Sort daily post and team emails on a rota basis
o Responsible for own filing
Provide assistance to the Trade Purchase Ledger Manager on ad hoc projects

· Advanced Excel skills, including creating pivot tables, nested formulas etc
· Pro-active approach to identify issues and escalate as appropriate
· Accurate, thorough and well organised
· Knowledge of Google Sheets and Docs is an advantage
