Business Administrator Apprenticeship

Location: South London

Type: Full-time

Purpose:
To provide administrative support within the Learning and Development Department to ensure smooth delivery and functioning.

Specific Responsibilities:

1. Training Courses
Invite and book delegates onto training courses from nominations received or as part of a programme of courses to be attended.Follow up as necessary to ensure full attendance, chasing responses where necessary. Remind delegates of forthcoming course bookings in a timely manner. Ensure facilitators are kept fully aware of booking status and provide them with delegate lists. Alert facilitators to any potential issues with course numbers. Ensure delegates’ line managers are kept fully informed of course bookings or attendance issues, where agreed. Ensure that delegate lists are kept up to date and all required details are recorded promptly and accurately. Follow up on non-attendance and cancellations and re-book where necessary.
2. Training Programmes
Sales Assistant First Day Booklets, Aspire, Evolve, Management Induction and Development Folders, Boux Avenue programmes etc 1. Update training programmes as directed by the relevant L&D Business Partners, maintaining an accurate 'master copy’ and records of historical content.
Update training programmes available on the Extranet/DyasNet/Connect as directed by the relevant L&D Business Partners.
3. Training Resources
Liaise with the relevant Communications Departments when their assistance is needed to publish materials on the Extranet/DyasNet/Connect or Communications emails.
4. Learning Management System (eLearning)
Learn and understand the required administrative functions of the LMS, to be able to cover for the Group LMS Administrator in their absence.
5. TPRG Training Programmes/Apprenticeships
Maintain records of management colleague applications/nominations/on programme, course attendance.
Maintain and update Google Drive with all materials needed by facilitators for TPRG courses.
Use delegate trackers to monitor eLearning and course completions, maintain the relevant spreadsheets and send communications to delegates and line managers in terms of progress.
6. Evaluation
Send out a Google Form Evaluation Quiz to the delegates after course attendance, as required.
7. External Providers and Events
Research venues, costs and suitability as directed by the relevant L&D Business Partners/Group Head of L&D.
8. Off Site Training Facilities
Manage Regent Street St James room bookings.
9. Budgets
Assist the Group Head of L&D/L&D Business Partners (as relevant) in the preparation of the annual budget request.
10. Meetings
Prepare for L&D meetings - invite attendees, room booking, video conferencing if required. Prepare and distribute agendas in advance of each meeting.
11. Payroll
Accurately prepare and electronically submit the Department weekly payroll timesheets. Ensure that this responsibility is passed to the Group Head of L&D or Group LMS Administrator when required.
12. Special Projects
Assist the Group Head of L&D in any special projects designated by the Chairman, and any other activities and tasks that may be required.
Support the Events/Public Relations Departments on any event that requires additional help.
Assist the HR Department with colleague engagement activities, such as events in the Wimbledon office.
